When Hiring Tranekaer Center

Here you will find the most important information about hosting an event at Tranekaer Center.
We have gathered all the practical details in one place, so you can easily get an overview of your stay, payment, facilities, and the venue's setting.

Practical info during your stay

Heating
You are responsible for adjusting the heating in the tent, hall, etc.

Check-in
You are responsible for receiving participants during the check-in period and showing them to their accommodation.

Sale of Goods
You are welcome to bring your own or others' goods to sell on site, such as books, oils, art, jewellery, and clothing.

Meal Times
If you use our kitchen staff, we aim to be flexible with meal times, while also making a great effort to ensure the food is hot and fresh when served. We also respect that our employees need to have their scheduled time off. Therefore, it is perfectly fine to shift meal times by fifteen minutes on the day itself. In some cases, this can also be extended by up to 30 minutes. So, if you need to adjust a meal time, please ask in the kitchen as early as possible.

Facilities
Equipment can be collected from the storage rooms. See the selection here

Delicate textiles such as our backjack chairs, white yoga equipment, blankets, and bolsters may only be used indoors. Not in the tents or outdoors. Please ask staff if you are in doubt.

Tidying Up
Items should be left in the same place you found them.
E.g., props from the storage rooms. Unless otherwise agreed.

Yoga mats must be cleaned before being returned to storage.
Cleaning spray is available at the centre.

Cleaning
Our staff clean the centre before your arrival.
Our staff continuously clean the toilets and dining hall at Sukkerfabrikken during the event.
You are responsible for the toilets and common areas in other buildings during the course.
You are responsible for continuously cleaning the workshop spaces during the event.
Our staff clean all rooms in all buildings after the event.

Fire
You are responsible for any form of fire, whether it's small tea lights indoors or a large bonfire outdoors. Fire may only be lit by arrangement with you, and you are responsible for ensuring they are not left unattended.

Bonfires are only permitted at the designated bonfire area and must be contained within the fire pit, not directly on the ground.
It is acceptable to leave a small bonfire with embers. Bonfires with flames must be extinguished before being left.

During dry periods, always remember to check with the authorities for any fire bans, as these must be observed for the safety of the centre.

Changes
If there are any changes in the week leading up to the event, regarding arrival time or anything else, please contact Sukkerfabrikken directly by phone, as we may not always check emails. See 'contact' at the top of the menu on this page.

Questions During the Event

If you have any questions during the event, you are always welcome to get in touch.
Contact with the centre is primarily made via the kitchen or by calling the main number.

To ensure a calm atmosphere during the event, participants should generally approach the facilitator or assistant, who will then contact the staff.

Terms and Conditions

These terms and conditions help ensure a good framework for events at Tranekaer Center and create clarity regarding responsibilities, considerations, and practical matters.

Tape

Gaffa tape must not be used indoors on walls, ceilings, floors, tent fabrics, interior, or other props. Only painter's tape or similar, which does not leave marks, may be used. Tape must be removed after use.

Nails, screws, and hooks

It is not permitted to hammer nails, screw in screws, or install hooks into walls, floors, or ceilings.

Allergens

The kitchen is happy to accommodate allergens. Information about allergens must be sent to the kitchen no later than 14 days before the event starts.

Shoes Indoors

Outdoor shoes are generally permitted indoors, unless otherwise stated.
When using the Centre's dance floor in a room, outdoor shoes are not permitted.

Music

Music should be limited as much as possible outdoors and in tents out of consideration for neighbours.

When playing loud music indoors, windows and exterior doors must be kept closed.

At 10 PM, the sound level must be lowered. All music must be turned off by 11 PM at the latest.

On special occasions, a written agreement can be made for an extended music timeframe until 2 AM. This extension applies indoors on the ground floor and requires that the agreed-upon limits are adhered to.

Damage and Tidying Up

The hirer is responsible for the premises and areas made available during the event, both indoors and outdoors, including buildings, inventory, technical equipment, tents, and outdoor areas.

Normal wear and tear will naturally occur when using the centre.
This is part of life at the venue and is covered by Tranekaer Center.

Normal wear and tear includes, for example:

  • Light wear on floors, furniture, and textiles

  • Minor marks from normal use

  • Natural use of facilities and equipment

Damage beyond normal wear and tear will be replaced by the renter.

Any damage occurring during the event and caused by the hirer or persons present at the venue in connection with the event at the hirer's instigation will be invoiced to the hirer at the full cost of repair or replacement. This does not include circumstances attributable to Tranekaer Center's own staff or circumstances beyond the hirer's control.

This includes, for example:

  • Broken windows, doors, or fixtures

  • Damage to technical equipment

  • Stains, holes, or damage to textiles and furniture

  • Damage resulting from irresponsible use or lack of supervision

The renter is obliged to inform Tranekaer Center immediately of any damage, so that we can find a good solution together.

The renter is responsible for having relevant liability insurance. For events involving professional suppliers, it is assumed that they are also properly insured. In the event of major damage, documentation via the renter's liability insurance may be required.

As a general rule, premises and areas must be returned in the same condition as when received. This means that tidying up must be done, personal belongings removed, and inventory returned to its original place, unless otherwise agreed in advance.

When hiring kitchen facilities where the hirer is responsible for cooking and catering, the kitchen must be returned in the same condition as when received. All crockery, kitchen equipment, and work surfaces must be washed and cleaned after use. Waste must be handled according to the Centre's instructions, and inventory and equipment returned to their original places.

Should extraordinary cleaning or tidying up be required after the event, this will be invoiced at DKK 400 per hour + VAT.

Regulatory Requirements, Noise, and Force Majeure

The hirer is responsible for ensuring that the event is conducted in accordance with applicable legislation and public regulatory requirements, including rules regarding fire, safety, capacity, and noise.

Events where the number of participants exceeds current official limits require prior written approval from Tranekaer Center, as well as documentation for necessary permits.

Any orders or fines resulting from circumstances attributable to the tenant's event are the responsibility of the tenant.

Tranekaer Center cannot be held responsible for non-fulfilment of the agreement due to force majeure, including fire, storm, flood, government orders, power failure, or other unforeseen circumstances beyond the centre's control.

Participant Terms

ASSISTANT

We recommend bringing an assistant to help you with preparations before participants arrive. For example, to carry yoga mats, mattresses, backjack chairs, extra sound systems, or anything else you wish to use from the storage room into the workshop space.

As well as to handle various ongoing practical tasks, such as calling participants in 5 minutes before workshops start, sweeping the hall, turning on the heating in the tent/sauna, managing the ice bath, taking social media photos, managing the bonfire area, communicating with the kitchen and the centre, decorating workshop spaces, closing the tent in the evening, etc. This allows you to focus on your teaching.

This could, for example, be a participant you already know, who might pay 50% of the ticket price.

We also recommend involving participants in courses with simple tasks while they are on site – such as helping in the kitchen with washing up, or the tasks mentioned above. Something simple that each person is responsible for during the day. This way, everyone contributes to creating the course and the experience together, which often leads to greater engagement from participants.
